EALING CROQUET CLUB PRIVACY POLICY

The Data Protection Act 1998 and the General Data Protection Regulation (May 2018) require us to have a privacy policy for our website, to explain how Ealing Croquet Club uses and protects information that you give the Club.

The Club is committed to ensuring that your privacy is protected. If we ask you to provide information by which you can be identified when you are on this website, it will only be used in accordance with this privacy statement.

We may update our privacy policy from time to time, but if we do, we will post a notice on our Home page. Any significant changes will also be notified to members by email.

What do we collect?
We collect the following information from members only:
1. Name
2. Contact information (postal & email addresses and telephone numbers)

Why do we collect this information?
In Data Protection parlance we process your data as part of the contract between us, when you become a member of the club. We cannot offer club membership without collecting and using personal data, because in addition to providing you with details about how to gain access to the club premises and equipment, we need to send you notices of club meetings, league games and tournaments, so that you can get the most out of your croquet membership. We use email to pass on such information to our members.

What do we do with it?
The Membership Secretary, Secretary and Treasurer store personal details securely in spreadsheets on password-protected computers, and use them to contact members about club matters.

With your consent, the Membership Secretary also passes your contact details on to the Croquet Association (CA) to enable you to benefit from CA Standard Membership. So each year when you renew your club membership we will ask you to sign a form on which you agree to us giving your name and contact details to the CA. If you wish to withhold consent to this you may of course do so.

We do not pass on personal information about members to any other body, and your data is not processed overseas.

How long do we keep information about you?
Your personal information will only be held while you are a member, and when you renew your subscription each year we will ask you to consent to it our passing it on to the CA. Once you stop paying a subscription to the club we will delete it.

Photographs
Members occasionally take photographs of other members, usually while playing at Lammas Park (or elsewhere). We would always ask your permission before using any photographs of you – for example, on our website.

What are your rights?
In addition to the information above, Data Protection laws give you the right to have a look at any data about you that we may hold, and to ask for it to be corrected if it is inaccurate or incomplete. You may also ask us to restrict its use, or indeed get us to delete it.

What about cookies?

A cookie is a small piece of information that is placed on your device when you visit a website. When you go on to that website again your device reads the cookie to get the information stored on it. We do use cookies; you can choose to change your browser settings to refuse cookies, but this may affect some of the functionality of the site.

What about privacy on other sites?

Our website includes links to other websites that may be of interest to you. However, if you follow these links, you should realise that the sites in question aren’t covered by our privacy statement, so we can’t protect any information which you provide to them.
